How to Find Wholesale Suppliers for eBay: Hold or Ship

A missed delivery date wastes an eBay order. Record who holds the stock, who ships, and who takes the return before you list.

Editorial drawing of two cartons with blank tags, one marked Your stock and one marked Supplier ships.
Choose who holds the goods before you write a delivery time. The drawing is not a warehouse photo or a certificate.

Key takeaways

  • Choose one path, holding the stock or having the supplier ship, before you state a delivery time.
  • eBay's dropshipping page allows fulfillment from a wholesale supplier and disallows buying the item from a retailer or marketplace that ships to your buyer.
  • A blank cell stays an unfinished editorial record until you file the document it asks for.
  • Leave any fee blank until the agreement or the trial paperwork states the amount.

A missed delivery date wastes the order you already sold. Before you list on eBay, choose whether you will hold the wholesale stock and ship it yourself or the supplier will ship that order, and record the agreement, the inventory update, the ship-from location, the delivery time, the tracking handoff, and the return contact for the path you pick.

Candidate lists live in how to find wholesale suppliers. This page starts after you have a named counterparty. Authenticity, eBay condition, and listing-image rights belong in stock and channel checks for resellers. The legal entity behind the agreement is covered in how to verify a wholesale supplier.

Two panels: You hold the stock, and The supplier ships the order, with who has the goods, who hands the parcel to the carrier, and who receives a return.
The two panels separate stock you hold from an order the supplier ships. The drawing is editorial. It is not a photograph of a warehouse and it is not a compliance certificate.

Separate the stock you hold from an order the supplier ships

You are deciding who has the goods when the buyer pays, and who hands the parcel to the carrier. Pick one path for the listing you are about to write.

Question You hold the stock The supplier ships the order
Who has the goods before the sale You, at an address you control The supplier, until that order ships
Who hands the parcel to the carrier You, or a warehouse you hired The supplier, from the ship-from location in the agreement
What you can inspect before the buyer receives it The units in your stock What the agreement and one trial shipment show
Which count you list The count you can ship from your stock The count on the supplier’s inventory update
Who receives the buyer’s return The contact you publish, and you take the unit back The contact named in the agreement

Takeaway: One listing uses one path. Fill the evidence table for that path before you type the delivery time.

Use the shipment rule on eBay’s dropshipping page

eBay’s dropshipping help page, in the copy saved on 11 October 2026 and re-read on 12 October 2026, describes dropshipping, also called product sourcing, as buying stock from a supplier and arranging for that supplier to send items to your buyers without you handling the items yourself.

That page says dropshipping, where you fulfill orders directly from a wholesale supplier, is allowed. It also says you remain responsible for safe delivery of the item within the time frame stated in your listing, and for the buyer’s overall satisfaction with the purchase.

The same page says listing an item on eBay and then purchasing the item from another retailer or marketplace that ships directly to your customer is not allowed.

For this worksheet, “the supplier ships the order” means a wholesale supplier ships it. A purchase from another retailer or marketplace that then ships to your buyer falls under the sentence eBay disallows.

The dropshipping page points to a related article, “Tracking items you’ve sold.” The summary printed on the dropshipping page says uploading tracking details after you have sent an item lets you and your buyer follow the shipment through to delivery. That summary is not the full tracking article. Open the current article before you rely on a step this saved page does not spell out.

The page also says activity has to follow the policy, the eBay User Agreement, and applicable laws, and has to respect third-party rights. It says eBay may remove a listing or other content, issue a warning, restrict activity, or suspend an account. In some cases it may hide a listing until the content is fixed and eBay approves the change.

Check the item on the prohibited and restricted list

The supply path does not decide whether eBay allows the item. The prohibited and restricted items overview, in the same saved copy, says that before listing you should make sure eBay allows the item and find out whether specific rules apply to how you list it. It tells you to check the list of those policies. It also says the sale has to comply with all laws and with any added restrictions that apply to payment services on eBay, such as credit card association or network rules.

That page says the prohibited and restricted policies apply across selling formats, including listing and eBay Live events. It tells sellers to read the policies before listing. For international sales, it points to the international trading policy and says an item that is legal to sell in your country might be illegal elsewhere. It also points to the rules for listings and the rules about intellectual property for other guidelines that affect a listing or product. This worksheet does not restate those linked pages.

Takeaway: Leave the category-policy cell empty until you have opened the policy that matches the item you will list.

Complete the before-listing evidence table

The table below is the record for the path you chose. A cell that says “blank” is waiting for your file. Filling a cell with a supplier’s name does not certify that supplier, and this page ranks no suppliers.

Record You hold the stock The supplier ships the order
Path chosen for this listing blank until you mark this path blank until you mark this path
Supply authorization blank until the terms cover resale on your eBay account blank until the terms say this supplier ships your eBay orders
Inventory data blank until you record your count, SKU, and count date blank until you record the supplier count, SKU, and update time
Ship-from location blank until you name the address you ship from blank until the agreement names the ship-from place
Delivery time you will state blank until it matches that address blank until it matches the time the supplier agreed
Tracking handoff blank until you name the carrier and when you upload the number blank until you name who creates the number and who sends it to you
Return contact blank until you name the person and address that receive the unit blank until the agreement names the contact and the address
Category policy opened blank until you record the policy title and the date you read it blank until you record the policy title and the date you read it
Fee blank blank

A United States ship-from address is still only the location cell. It does not fill the authorization cell.

Put the ship-from location and the return contact into the written terms. The fields to lock are in the quotation guide.

Flow diagram of the document path: choose one path, file the supply agreement, record inventory data, record the ship-from location, write the delivery time, name who sends tracking, and name the return contact.
Follow the diagram for the path you marked. A blank cell on that path means the record is unfinished. The diagram is an editorial sequence, not an eBay form and not a certificate.

Takeaway: State a delivery time only after the ship-from cell and the tracking cell for your path have a document behind them.

Record one order, tracking, and return trial

On the supplier-shipment path, run one order before you list a range of items. Record the tracking result and the return contact that the trial actually used. On the hold-stock path, ship one unit to an address you control, or handle the first buyer order yourself, with the tracking upload and the return address already written down.

Field Your entry
Date blank
Path blank
Order or test reference blank
Ship-from location used blank
Delivery time stated for this trial blank
Carrier blank
Tracking number blank
Tracking result blank
Return contact used blank
Where a test return went, if you sent one blank
Fee printed on the paperwork blank
What you will change before listing blank
Blank trial sheet with empty lines for date, path, order reference, ship-from location, delivery time, tracking, return contact, and fee.
Copy the trial onto the sheet, or keep the table. Every line starts empty because this page did not run a shipment. A completed line is your record of your trial. It is not an audit of the supplier and it is not a certificate.

Common mistake: Pasting a handling time into the listing while the ship-from cell and the tracking result are still blank.

When this worksheet is the wrong task

Use another page when the decision is different.

  • You still need sellers to approach. Stay with how to find wholesale suppliers until you have a named counterparty.
  • You need to judge whether the units are genuine, which eBay condition fits them, or whether you may use someone else’s photos. Use stock and channel checks for resellers.
  • You are preparing an Amazon wholesale account or an Amazon invoice file. Use Amazon wholesale suppliers. An eBay supply-path record does not answer that review.
  • The item sits under a prohibited or restricted policy. Stop on that eBay policy. This table does not override it.
  • An older marketing page describes a named lot program. Do not treat that page as proof the program still ships. This guide does not use one to recommend a service.

These checks sit in the sourcing sequence on ecommerce sourcing, after you have a specification and a counterparty.

Method and sources

The eBay sentences above come from the dropshipping help page and the prohibited and restricted items overview. Both were saved on 11 October 2026 and re-read on 12 October 2026. No policy line was added beyond that saved text. Linked eBay articles that this copy only names, including the full tracking article, the international trading policy, the rules for listings, and the intellectual property rules, were not re-quoted here.

The comparison, the evidence table, and the trial record are editorial worksheets. Empty cells are empty because no supplier was audited for this page. Fees and performance figures stay blank until your own papers state them. The diagrams are drawings made for this article.

Frequently asked questions

Can a wholesale supplier ship an eBay order to the buyer?

eBay's dropshipping page says fulfilling orders directly from a wholesale supplier is allowed, and that you stay responsible for safe delivery within the time frame you state and for the buyer's satisfaction. The same page says listing an item and then buying it from another retailer or marketplace that ships to your customer is not allowed.

Does a United States ship-from address authorize an eBay listing?

A ship-from address, including one in the United States, is one cell in the evidence table. Written authorization for your eBay orders is a separate cell. An address by itself does not complete the record.

What should I enter for a fee the agreement does not state?

Leave the fee cell blank. Write an amount only when the supply agreement or the trial paperwork states it. An empty fee cell is an unfinished worksheet field, not a measured result.
